Who we are

Kemispray Ltd is responsible for the personal information described here. This notice covers our website enquiries and the project correspondence and invoicing that follow. Our website does not take online purchases.

For privacy questions or requests, email info@kemispray.co.uk, call 020 7018 1611, or write to Kemispray Ltd, Unit 7, Set Star Estate, Transport Avenue, Brentford TW8 9HF.

Information we use

Our enquiry form asks for your name, email address and project details. During a project, you may also provide contact or business details, a project address, drawings, photographs, dimensions and colour or finish references. We keep relevant quotations, correspondence and invoice records.

The website and its providers also process technical information, such as IP addresses, browser and device details, cookie identifiers and pages visited, to deliver and protect the site and, where you agree, understand its use.

Please send only information relevant to your project. Enquiring is voluntary, but we need enough information to respond and discuss the work.

Why we use it

  • Enquiries and agreed work: for private customers, we use necessary information to take steps you request before a contract and to carry out our contract with you.

  • Business contacts: we rely on our legitimate interests in answering enquiries and managing work for the organisation you represent.

  • Repeat orders and colour matching: we rely on our legitimate interests in keeping useful job specifications and relevant correspondence so returning customers can obtain consistent finishes. We limit the personal details kept for this purpose.

  • Invoices and financial records: we keep the records needed to meet our tax and accounting obligations.

  • Website delivery and security: we rely on our legitimate interests in providing a readable, accessible website and protecting the enquiry form from spam and misuse.

  • Optional analytics cookies: we rely on your consent. You can change your choice through Cookie Preferences.

We do not use enquiry details to send marketing emails. An enquiry does not subscribe you to a mailing list.

Who handles information

Kemispray staff handle enquiries and projects. The following providers support our work:

  • Squarespace hosts the website and stores native form submissions and associated contact records. Form email notifications are configured for info@kemispray.co.uk, so copies can exist in Squarespace and email.

  • Microsoft email services and Outlook handle our email correspondence.

  • FreeAgent holds customer and accounting records, including invoicing information.

  • Our accountant receives invoices for accounting purposes, rather than original enquiry emails.

  • Google reCAPTCHA helps protect the enquiry form. Google's Privacy Policy and Terms of Service apply.

  • Adobe Fonts delivers website fonts. See Adobe's font privacy information.

Providers may use authorised service providers of their own. We may also share relevant records where required by law or needed for legal claims.

Processing outside the UK

Some providers operate internationally, including in the United States. Information may therefore be processed outside the UK.

Where required, transfer arrangements use UK adequacy regulations or approved contractual safeguards. Information is available in Squarespace's Data Processing Addendum, FreeAgent's customer Data Processing Addendum and Microsoft's Data Protection Addendum. Contact us for information about the safeguards relevant to your information or how to obtain a copy.

How long we keep it

Enquiries that do not become jobs: we review these after 12 months from the last meaningful contact and delete information we no longer need. Active discussions or a specific dispute may justify keeping relevant information longer. This review covers relevant Squarespace and email copies; deleting one does not automatically remove the other.

Completed-job references: we keep useful specifications, colour references and relevant correspondence for repeat orders and colour matching. There is no single fixed period. We consider whether the reference remains useful, the customer relationship and whether personal details are still needed. We remove identifying details where a technical reference can be kept without them, and delete personal information when it is no longer needed for these purposes or another obligation.

Invoices and accounting records: we generally keep these for six years from the end of the last company financial year they relate to, or longer where accounting or tax rules require. This is not a blanket six-year period for all project emails. Relevant records may also need to be kept for an outstanding legal claim or dispute.

Deleted information in backups follows each provider's deletion processes. FreeAgent's published notice says archived database backups, including deleted data, can remain for two years. Other providers may use different periods.

Your choices and rights

Depending on the circumstances, you can ask to access, correct or erase your personal information, restrict its use, or receive information you provided in a portable form. Conditions and exceptions apply; for example, an invoice may need to be kept to meet a legal obligation.

You can object to uses based on our legitimate interests, including keeping identifiable job references for repeat work. Contact us using the details above so we can consider your circumstances.

Where we rely on consent, you can withdraw it. For optional cookies, use Cookie Preferences. Withdrawal does not affect earlier lawful processing.

You can raise concerns with us and can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.

Cookies and website choices

Necessary cookies and similar technologies support site operation, security and remembering your choices. Google reCAPTCHA uses technical information and a security cookie to assess possible automated misuse. Rejecting optional cookies does not switch off this form-security service.

Squarespace's optional analytics can help us understand visits, pages viewed and how people reach the site. The site's cookie controls are set to restrict non-essential cookies until a choice is made. We have not added Google Analytics or advertising pixels, and Squarespace's visitor activity log is switched off.

Choose Accept all, Reject optional or Manage cookies in the banner. Return to Cookie Preferences to change your choice.

Fonts and browser-compatibility resources can still load when optional cookies are rejected. Adobe states that its website font-delivery service does not set or use cookies to serve fonts.

Squarespace's cookie information lists cookie names, purposes and lifespans across its services. It includes features this website does not use, such as checkout; not every listed cookie is used here.

Updates

We may update this notice when our website or information-handling practices change. The date above identifies this version.
